Change a Class Schedule

When you need to change your class schedule Homeschool Planet can help make that happen in just a few steps! Learn how to switch days, times, frequency, and more below!

How to Change an Individual Class Schedule

  1. After logging into your account, click on the class you want to modify from the Calendar and choose the “Edit” option.
  2. In the “Edit Class” window,  locate the “Change schedule” button under the “When” field.
  3. In the “Change Schedule” window, select the option that best fits your needs.
    1. Add or remove individual dates~ when selecting this button you will see your entire calendar with all currently schedules dates circled. To add a date simply click on it and a green plus will appear, adding it to the schedule. To remove a date click on it and a red x will appear, indicating it has been removed. To change either selection re-click the date.
    2. Change the start/end date~ enter your new start or end date and then select ok. This will shorten or lengthen your class. This will change an individual class- not your entire school schedule.
    3. Change the class time on a particular day~ adjust the time for one day’s class.
    4. Change the schedule in other ways~ all other changes fall in this category. You can change what days the class occurs, what time it occurs, set different times on different days, etc. You can even change the schedule for a certain period of time. If you use this option make sure you pay attention to the area at the top of the pop-up box that let’s you indicate when you would like the change to begin and end.
  4. Depending on which option you select, make your changes as needed, then click the “OK” button at the bottom of the pop-up window.
  5. When you are satisfied with your changes, click the “Save and Close” button in the lower right of the window and the new schedule will be updated in your calendar.

Take note:

  • Assignments will move back if you remove a day from the schedule but if you add days to the schedule the assignments will not automatically shift. You can shift them all at once by going to the first empty date in the schedule and choosing Eliminate gaps in the schedule from this day forward from the drop-down menu on the right. This will cause all the assignments to shift up and fill in the dates without assignments.
  • Alternatively, you can use the “More…” drop-down menu in the “Options” column on the right side of the assignments.  There are options to move assignments to different dates, eliminate gaps in the schedule, remove dates, merge with the previous day, and more. Select the option that best fits your needs.
  • Please note that changing your school calendar does not change the individual class schedules. These must be done in the “Edit Class” window.

Setting Up a School Year

The first step to setting up your Homeschool Planet account is to set up your School Year calendar. This will let you schedule classes, activities, lesson plans, and more as well as enable you to track attendance. To get started setting up your school year calendar see the directions below!

Setting Up Your School Year Calendar

  1. Click the “Settings” icon on the upper right of your screen.
  2. Choose “School Year and Vacations”.
  3. Select the title for your school year and enter it in the box labeled School year.
    • The default will be the current academic school year.
  4. Choose the number of Reporting periods you would like to use in your school year.
  5. Choose the date your school year will begin as well as the end date for each of your grading periods by using the calendar to the right of each date entry.
    *New grading periods begin on the day following the end of another grading period.
  6. Check the days you wish to be part of your regular school schedule.
    *Monday, Tuesday, Wednesday, Thursday, and Friday are the default days but you may select any days you wish.
    *You will also be able to add or remove individual days on the calendar.
  7. Select any set of holidays from the drop-down menu to have those holidays added to your calendar.
  8. Days with green check marks indicate school days and days with red x’s are vacation days. You may click on any box to change it from green to red and then back again. Blank days (those which are not regularly scheduled school days) may be clicked on to produce a green check mark (indicating it is a class day) and then clicked again to turn them blank again.
  9.  Move through the calendars using the arrows in the top corners of the calendar to add and remove dates from your school year.
  10. You can track the total number of days in your school year with a convenient counter to the right of the days of the week you selected above.
  11. When you are happy with your school year select Save from the lower right hand corner of the Settings Pop-up screen.
  12. Repeat these steps each time you need to set up a new year!

Setting Up Family Profiles

The next step to setting up your Homeschool Planet account is to set up your Family Profiles. This will let you control profiles as well as help you utilize some of the features used by profiles. To get started with Family Profiles see the directions below!

Family Profile Set-up

  1. Click on the “My Family” link on the left hand side of the Homeschool Planet page.
  2. Add info for your own account on the first screen.
  3. To add an additional profile to your family click the add icon on the blank profile.
  4. The only required field is that you add a first name but you can also add additional information to enable more features for each family member.
    1. If you choose to add an email address you can then choose to have Homeschool Planet send them a daily or weekly digest email. A digest is a summary of his or her schedule for the day or week. You will also be able to send them emails from within the Messages widget. You will also be able to schedule reminders for specific events or assignments to be delivered to them by email.
    2. You can also add a cell phone number. This is not required but if you do add a cell phone number you will be able to send text messages and reminders directly from Homeschool Planet.
    3. You can upload a photo for your family member by choosing the Upload Photo button and then selecting a photo from your computer. You can crop the photo before selecting save.
    4. Select the grade your student is in for use with Transcripts and Report Cards and other records, or the Not a Student option if this family member is not a student.
    5. Select a color for your family member to identify their classes, chores, and events.
  5. In addition to the Basic Info tab Homeschool Planet has two other tabs, Attendance and Login, linked to each profile page. You can learn more about how to use those from their User Guide pages.
  6. To change the order of your students simply drag and drop the photos across the top row into the order you desire.
  7. When you have added all the family members you wish to add select save. You can come back and add, edit, or delete students at any time.

Setting Up Attendance Tracking

Setting up Attendance Tracking and keeping records of what day your student participates in academic activities is a snap with your Homeschool Planet homeschool planning software!  Directions, pictures included, are below to help you track this vital information about your student!

 

 

Setting Up Attendance Tracking

  1. Click on the “My Family” link above the pictures on the left side of the planner.
    * If you have customized the “My Family” text it may read as something else, likely your family’s name.
    *
    Didn’t customize that yet and want to? See directions to customize your display settings here!
  2. In the “Manage Family” screen, you will see all of your students across the top.
  3. Complete these next steps for each student you wish to track attendance for.
    * Click on their name and then click on the “Attendance” tab on the left side.
    *
    You will see a checkbox at the top that says, “Track attendance for (students name)”. You will want to check this box if you want to track their attendance.
    *
    Repeat for additional students.
    *
    To STOP tracking attendance you can enter the system the same way and de-select the check box.
  4. There will be a chart below that shows you how many school days at that time have been attended, how many are remaining and how many there are in total.
  5. A calendar below the chart will show you what days have been marked. A green check mark indicates attendance, while a red X indicates the student was marked absent. All choices can be over-ridden in this screen.

Tracking Attendance Each Day

Once you have enabled attendance tracking for a student you will see their name, with a small check box, at the beginning of your untimed events for each day. A check mark will appear each day by default. Uncheck the box to indicate that a student was absent on that day.

Viewing and Editing the Attendance Record

  1. First, access the Attendance Screen. There are two primary ways to do this.
    * While in the Calendar or Planning View if you hover your mouse over a name with attendance tracking a small calendar icon will appear. Click on the calendar icon and you will immediately be taken to the Attendance tab of that person’s account.
    * You may also access Attendance Tracking by selecting the icon or picture on the left hand side of the screen of the person you want an attendance record for. Choose “Edit <that person’s name> Profile” and then select the Attendance tab on the left.
  2. Simply click on any date to change its current status. Days will toggle between attended, shown by a green check mark, and un-attended, shown by a red X.
  3. After any changes are made simply select “Save and Close” and then go to the next activity you wish to complete.

To Print an Attendance record select the Print button in the Upper Right hand corner of the attendance screen.

Getting Started Tracking Class and Activity Hours

Homeschool Planet can track and report class hours with a convenient clock icon that lets you see exactly which items you are tracking. To get started tracking the hours your student spends on academic work, activities, (or even chores!) see the directions below!

Hours Tracking Set-up

  1. Click the “Settings” icon on the upper right of your screen.
  2. Choose “Track class hours”.
  3. To track hours check the box which reads, “I want to track and report hours for my classes.”
  4. Determine whether the Assignment Method or the Class Method is a better option for your family. Choose the option you will use the most often in this setting. You will be able to override your general selection for individual classes and activities.
    *Assignment Method~ this setting will allow you to track and record the time spent on individual assignments.
    *Class Method- this setting will record just the total time spent on a class each day.
  5. Choose your preferred time format from the three options:
    *Clock time (0:30, 1:00, 1:15)
    *Clock time as text (30m, 1h, 1h 15m)
    *Decimal time (0.5, 1.00, 1.25)
  6. Click “Save” and the initial set-up for hours tracking is complete.

Set-up for a Class or Activity

  1. When you are setting up a new Class you will be automatically taken to the Create Class (Edit) Screen. If you are adding or adjusting the tracking of hours to an existing Class click on the class/activity in the planner, and then select “Edit”.
  2. In the edit screen you will see tabs across the top, select the “Track Hours” tab.
  3. You will select the check mark for the “Track hours spent on this class” selection, if it is not already checked.
  4. You will have two choices~ Assignment Method and Class method, as described above in the first section of this post. Your general choice made during initial set-up will be selected but you may override that decision for this individual Class or Activity here.
  5. Next enter a default time on the line which reads, “If I don’t enter a time for an individual assignment or class, use XX minutes.” This time will be automatically added to all assignments and classes on days you do not enter a specific time count but may be overridden at any time.
  6. For the class method, a chart will appear where you can choose the date range, and how much time you want spent each day for that class.
  7. When you are finished, click “Save and Close”.
  8. The tracking time clock will now be added to each class in the top right corner.

Recording Time Spent on Classes and Activities

  1. Each class that you have set up hours tracking for will have a small blue clock icon, which when selected, will pull up a box for you to enter the amount of time spent on the Activity, Class, or Assignment.
    *If you are tracking hours by the Class Method you will see this clock in the right hand corner of the box containing that class.
    *If you are tracking hours by the Assignment Method the clock will be between the check box and Assignment for each individual Assignment.
  2. Times are rounded to 5 minute intervals. Simply click on the appropriate time entry.

Lesson Plan or Class?

While lesson plans and classes seem like the same thing (they ARE very similar!) they have some definite and important differences. To learn more about the distinction between classes and lesson plans in Homeschool Planet, see below.

So what is the difference between a Class and a Lesson Plan?

A Homeschool Planet Lesson Plan is a sequence of assignments with, optionally, associated resources, links to digital content (e.g., websites, online videos, PDFs, etc.), grading categories, and attendance-tracking information.

Initially, the lesson plan that you create in the Lesson Plan Library is not scheduled, nor is it associated with any particular, current class in your calendar. However, once created, you can then “apply” it to your calendar. When you do so, that lesson plan becomes the basis for a new class in your calendar, starting on a date that you specify, with a specific schedule, and assigned to specific students.

If you want to create a lesson plan that you will use multiple times, perhaps with different students in different school years, then it makes a lot of sense for you to create the lesson plan in the Lesson Plan Library, then apply it as you need it. However, if you want to create a lesson plan that you will only use once, then you don”t need to create it in the Lesson Plan Library. You can simply create a new Class in the Calendar or Planner views, and edit the class directly.

Another difference between lesson plans and classes is the way that Notes react in each. In a lesson plan a Note is attached, also called pinned, to the assignment. This means that once applied to the calendar if you move the assignment the note will move with the assignment. If a note is applied to the calendar however it is attached to the date so if assignments are shifted the note stays on the same day. Both of these uses are helpful. If you are adding a note about a particular assignment you will want it tied to the assignment and thus created as a lesson plan in the Lesson Plan Library. If however, you are adding say a note about remembering to shop for the next week’s science experiment materials you will want that note to be on Friday’s even if the assignments shift. In that case you will want to either create the schedule as a class or add the note to the lesson plan after it has been applied to the calendar, and thus, become a class.

Creating a Lesson Plan from a Class

Saving classes as lesson plans is as easy as 1, 2, 3 in your Homeschool Planet account. To learn how to save a class as a lesson plan see the directions below.

Creating a Lesson Plan from a Class

If you have created a class directly on the Calendar and would like to save it as a lesson plan for use with future students you can do so by following these steps:

  1. After logging into your account, locate the class that you would like to make a lesson plan from, and click on the class title.
  2. When the window opens, find and select the  “Create a lesson plan based on this class” text link.
  3. In the “Create Lesson Plan Based on “(CLASS NAME)” window it will ask “Which assignments do you want to include?” From the drop-down menu, select either “All assignments in the class” or “Only the assignments I select” option, whichever works best for you.
  4. If you want to include all assignments in your lesson plan, including those that have been completed, be sure to check the “include completed assignments” box.
  5. Select the “OK” button in the lower right corner.
  6. The “Create Lesson Plan” window will now open where you are able to make any changes you need to make.
  7. When you are satisfied with your lesson plan, select the “Save and Close” button in the bottom right corner.
  8. The class will now appear as a lesson plan in your Homeschool Planet Lesson Plan Library!

Deleting a Lesson Plan

Sometimes you want to delete a lesson plan from the lesson plan library because you know you won’t use it again, you have a saved a newer version of the lesson plan, you have changed curriculum, or for some other reason. To find out how to delete a lesson plan from your Lesson Plan library see the directions below.

A Reminder about Lesson Plans and Classes

Once a lesson plan has been applied to the calendar it is considered s class. These directions are for deleting lesson plans from the Lesson Plan Library. If you need to learn how to delete a lesson plan from your calendar please see the directions for Deleting a Class.

Directions for Deleting Lesson Plans

The Lesson Plan Library can hold three types of Lesson Plans. The first are purchased lesson plans. These cannot be deleted. The second type of lesson plans listed are those that were “Shared with Me” and can be deleted as can those in the category, “My Lesson Plans.”

To delete a lesson plan, locate the plan you wish to delete and select the text which reads “delete” to the right of the plan. Next, confirm your decision to delete when the pop-up box asks  if you are sure you wish to delete the lesson plan. That’s it! Your lesson plan has now been deleted.

Finding Purchased Lesson Plans

Wondering where your purchased (and created) Lesson Plans are stored? Look no further~ this article will help you find them in a snap!

Directions for finding your lesson plans

  1. First log into your Homeschool Planet account.
  2. Click on the drop-down menu labeled “Calendar” in the upper left-hand side of your screen and choose the “Lesson Plans” option.
  3. This will take you to the Lesson Plan Library.
  4. On this screen, you will see all your lesson plans listed in two sections, one for your “Purchased Lesson Plans” (those you have purchased from the Marketplace) and the other for “My Lesson Plans” (those that you have either created from a class or made from scratch). There is also a third category “Shared Lesson Plans” which will only appear if another user has shared lesson plans with you.
  5. To find directions for editing, sharing, or applying lesson plans see the individual posts for those tasks.

Purchasing Plug-In Lesson Plans

Are you looking for more plug-in lesson plans after seeing how quick and easy our professionally designed plug-in lesson plans make scheduling out your entire year? Thankfully, finding plans is as easy as applying them! Find the directions to get started locating lesson plans and populating your calendar today below!

Finding Plug-in Lesson Plans

All of Homeschool Planet’s plug-in lesson plans can be found in the Lesson Plan & Curriculum Marketplace, which is located here.

You can also access the Marketplace from your planner by selecting the “Homeschool Planet” logo in the upper left corner. This will take you to our main website. Once here, look in the upper right menu bar, hover over the “Marketplace” option, then select “Lesson Plans & Curriculum” from the drop-down menu.

After arriving in the Marketplace you can search for lesson plans a couple different ways!

  • First, you can use the Search bar at the top of the page to locate a lesson plan by curriculum title, publisher, or common known abbreviation- think SOTW, for Story of the World or MoH for Mystery of History.
  • Second, you can peruse the appropriate Subject area headings (Art & Music, Foreign Language, Math- Textbook, etc.) for the curriculum you are trying to find a lesson plan for.

Once you have arrived on the Lesson Plan Family page you will find a description of the lesson plan as well as screenshots to show you how the plans will appear on the Calendar. Additionally, you will find a list of what is included in the lesson plan, under the section What you Get. While a few of our lessons plans have curriculum embedded or downloadable, most do not include curriculum. You will find a note which will confirm whether curriculum is included or not. To learn more about the curriculum the lesson plan is for check to see if there is a “More info” link on the individual plan. This link may even provide an affiliate link directly to the curricula which corresponds to the lesson plan for ease in purchasing.
