A Word about Subjects

Class names and Subjects names definitely have some overlap, and can be confused. This article seeks to clarify the best practices for using both titles in your Homeschool Planet account.

 

 

Subject Names and Class Names

The best advice we can give you is to keep your subject names simple and save the details for your class names.
Some examples of Subject names: Math, Language Arts, History, Science, Bible, PE, Electives, etc.
Class names should be included in the details.
Examples of Class names for the subject Math would be: Algebra 1, or Saxon 6/5, Horizons 3, Thinkwell 7th grade math, etc…
This will make organizing far easier as you use Homeschool Planet more and more! Using too many Subject titles is the number one thing that causes trouble down the road because users end up with too many separate subject names. A good way to think about this is to think about the Categories you would see on a High School Transcript. For example you would not see Spelling, but you would see Language Arts.

Adding a Class

This entry is designed to teach you the basic steps needed to add a class once you have set up your school year and added students. Directions for selecting options in this process are below.

Adding a Class Directions

  1. After logging into your account, click on a blank space in your calendar, then select the “Class” option.
  2. In the “Create Class” window, use the drop-down menu in the “Subject:” field to select the subject or to “Add a Subject.” Next, fill in the title field. Use the “For Whom:” drop-down menu to select your student(s).
  3. Next, you will want to determine the time frame for your class using the drop-down menu for the “When” field. There are quite a few preset options as well as a “More choices” option for creating a customized schedule. Here are the steps for creating a customized schedule:
    • Select the “More choices” option in the drop-down menu which will open the “Edit custom schedule” window.
    • In the “When” drop-down menu, select “Custom schedule…” at the bottom of the list.
    • When this option is select, you will be able to choose a repeat pattern, specific days, and times. To the left of these fields, you will also be able to set the “Starting” and “Until” dates.
    • When you are satisfied with your schedule selections, click the “Save” button in the bottom
  4. Set a start and end date for your class if you do not want them to follow the pre-selected defaults.
  5. Decide if you would like this class to occur at a particular time or no particular time and make the appropriate selection.
  6. Choose Save.

Assignment Creation Options:

    1. Enter single assignments for each day
      1. While in the Assignments tab, type in the task or assignment in the “Do this:” space next to the proper date.
      2. See our other entries for utilizing the More… drop-down menu to the right of the assignments.
      3. As with any software connect to the internet, we recommend selecting Save after every few entries.
      4. When you have finished your entries select Save and Close from the lower right hand corner.
    2. Same assignment every day
      1. On the Assignments tab, in the “Show” fields, select your “From:” and “Through:” time frame for the repeating assignment.
      2. Below the “Show:” section, locate the “To every class day, add this:” field and enter your information.
      3. Select the “Add” button and a confirmation window will open. Review the information, select the appropriate button to either fix or make them all the same. If you are happy with your plan, select the “Yes, make them all the same” option, and another confirmation window will open. Review the information in this window, then select the “OK, add them” button.
    3. Simple reoccurring pattern (Lesson 1, Lesson 2, Lesson 3, etc.)
      1. Follow steps 1-3 above except when entering your information in the “To every class day, add this:” field, add the braces {1} with information such as a number or a letter in them after your leading text (Lesson {1}). This tells our system to generate assignments in sequential order (ex: Lesson 1, Lesson 2, Lesson 3, etc…).
    4. Complex reoccurring pattern
      1. In the “Assignments” tab, to the right of the entry space for the “To every class day, add this:” field you will see the “More options…” text link. Select this link to open the “Assignment Generator.”
      2. In the “Assignment Generator” window you will see several options to choose from to auto-create your assignments. Select the best option to fit your needs then click the “Next” button.
      3. In the next window, fill in the date fields and other relevant information, depending on which option you selected in step 2. Click the “Next” button.
      4. In this window, you will enter the information for your assignments in the “Do this:” section. There are specific instructions for this at the top of the window.
        • Be sure to keep the braces {1} for our system to create the sequential pattern.
        • A preview of your assignments will populate below.
        • Make changes to your assignments until they appear the way you want them to in the preview section.
      5. Once you are happy with how everything looks in the preview section, click the “OK” button in the lower right-hand of the window.

After following the steps for one of the options above, the reoccurring assignments will now be in the assignments tab. At this point, you should select the “Save” button in the lower right-hand corner of the window to ensure your work will not be lost.

You can fine-tune your assignments by adding resources, additional reminders, and more, by using the “More…” drop-down menu in the “Options:” column. You can also add notes to your schedule on the “Notes” tab in a similar manner as creating assignments.

When you are completely satisfied with your assignment set-up, click the “Save and Close” option in the lower right-hand corner of the window and the reoccurring assignments will be applied to your planner.

Adding a Field Trip

Field trips are one of the best parts of school! When an unexpected opportunity for a field trip comes up you can use the Homeschool Planet features to adjust your schedule in just a couple steps!

Adding a Field Trip Directions- use the option which works best for your circumstance

Option 1: Add a Field Trip to an Existing Class

If you want to add a field trip to a single class period this is the easiest method to employ

  1. After logging into your account, click on the class you want to modify and choose the “Edit” option.
  2. In the “Edit Class” screen, locate the assignment you want to move and select the “More…” drop-down menu at the end of the assignment row on the far right. You will see several options for moving the assignment. Select the option that best suits your needs.
  3. Once your assignment(s) have been moved, you can enter the information for your field trip in the new blank space that was created.
  4. When you are satisfied with your changes, click the “Save and Close” button in the lower right of the window and your field trip will now be in your planner with all the assignments moved per your specifications.

Option 2: Create as an Activity

  1. To record your field trip as an activity that does not appear on your report cards as part of a class, click on a blank space on the day for the event, then select the “Everything Else” option.
  2. In the “Create Activity” window, fill in the fields. Once the “Activity” and “For Whom” fields have been completed, a blank bar will appear on the “Tasks” tab, where you can enter your field trip information.
  3. Click the “Save and Close” button in the lower right of the window and this activity will appear on your calendar.

Option 3: Pre-planned all-day field trip

If you know when you will be going on your field trip,  you can add it to your schedule beforehand and move all the day’s assignments out a day.

  1. After logging into your Homeschool Planet account, hover over the “Settings” icon, then select the “School Years & Vacations” option.
  2. When the window opens, locate the day that you will be taking your field trip and mark it as an off day by changing the green checkmark to a red “X” then select the “Save” button in the lower right corner.
  3. After selecting the “Save” button, the “Reschedule Assignments” window will open with a list of the assignments scheduled for that day. There will be options to “Carry forward to nearest class day, and leave rest of schedule alone,” “Carry forward to nearest class day, and shift schedule by one day,” and “Delete this item.” Select the option you want then click the “OK” button.
  4. Now, return to the “School Years & Vacations” window, and change the red “X” back to a green checkmark and save.

You can now select the day on your calendar and add your field trip to a class or as an activity and the day will still be counted as a school day.

Please note that this method will only show class assignments and not activities. You will have to manually move any activities you have scheduled either by dragging them or by using the “Edit” option.

Option 4: Last-Minute Field Trip

If you decide to take a field trip today and want to move all assignments forward before or after you go, you can use the “Rescheduling Helper” to move today’s assignments.

  1. Hover over the “Helpers” icon, then select the “Rescheduling Helper” option.
  2. When the “Reschedule Assignments” window opens, select the “Reschedule overdue AND today’s assignments as well” option.
  3. When the new window opens, you will see all overdue and today’s assignments. Select the appropriate option you want for the assignments, then select the “OK” button.

Change a Class Schedule

When you need to change your class schedule Homeschool Planet can help make that happen in just a few steps! Learn how to switch days, times, frequency, and more below!

How to Change an Individual Class Schedule

  1. After logging into your account, click on the class you want to modify from the Calendar and choose the “Edit” option.
  2. In the “Edit Class” window,  locate the “Change schedule” button under the “When” field.
  3. In the “Change Schedule” window, select the option that best fits your needs.
    1. Add or remove individual dates~ when selecting this button you will see your entire calendar with all currently schedules dates circled. To add a date simply click on it and a green plus will appear, adding it to the schedule. To remove a date click on it and a red x will appear, indicating it has been removed. To change either selection re-click the date.
    2. Change the start/end date~ enter your new start or end date and then select ok. This will shorten or lengthen your class. This will change an individual class- not your entire school schedule.
    3. Change the class time on a particular day~ adjust the time for one day’s class.
    4. Change the schedule in other ways~ all other changes fall in this category. You can change what days the class occurs, what time it occurs, set different times on different days, etc. You can even change the schedule for a certain period of time. If you use this option make sure you pay attention to the area at the top of the pop-up box that let’s you indicate when you would like the change to begin and end.
  4. Depending on which option you select, make your changes as needed, then click the “OK” button at the bottom of the pop-up window.
  5. When you are satisfied with your changes, click the “Save and Close” button in the lower right of the window and the new schedule will be updated in your calendar.

Take note:

  • Assignments will move back if you remove a day from the schedule but if you add days to the schedule the assignments will not automatically shift. You can shift them all at once by going to the first empty date in the schedule and choosing Eliminate gaps in the schedule from this day forward from the drop-down menu on the right. This will cause all the assignments to shift up and fill in the dates without assignments.
  • Alternatively, you can use the “More…” drop-down menu in the “Options” column on the right side of the assignments.  There are options to move assignments to different dates, eliminate gaps in the schedule, remove dates, merge with the previous day, and more. Select the option that best fits your needs.
  • Please note that changing your school calendar does not change the individual class schedules. These must be done in the “Edit Class” window.

Change the End Date of a Class

If anything is true in the world it is that change happens! Homeschool Planet recognizes this and makes the ability to change the end date (or the start date!) of class simple and straightforward. The steps below will walk you through how to accomplish this task.

Changing the End Date of a Class Directions

Classes can be set to start and end on any date. To change an individual class end date follow these directions:

  • Select the class from the calendar and choose edit.
  • Choose the button that says Change Schedule and select Change the start/end date.
  • Then select your new end date, click on OK, and then Save.
  • That really is it!

Please note~ If you change the end date to occur before the end of previously scheduled assignments those assignments will now be listed in your calendar as unscheduled. You can leave them that way if you do not wish to complete them or you can drag them to dates within the range you have now set if you wish for them to remain assigned.

Classes with More than 1 Student

Homeschool Planet gives you the ability to add two or more students to the same class right in the planner. Learn how to do this with this helpful User Guide entry.

Adding a Class with more than 1 Student

These directions assume that you are familiar with the basics of adding a class to your planner. If you are not we recommend you first read this post for information about adding classes.

A few things to note about classes shared between two or more students.

  • This feature is intended for students who largely have the same assignments to complete daily. If you have a 3rd, 5th, and 9th grader who are each taking different Math classes you would want to create a separate class for each of them rather than have a single Math class with all different assignments for each student.
  • If your students share the majority of assignments but have a few differences you will be able to address those diifferences in each student’s tab.
  • Each student will only be able to mark their own assignments UNLESS you give them permission to mark each other’s assignments in their student profile.
  • A red exclamation point next to an assignment alerts you that the students in a shared class are out of sync with each other.

Let’s get started:

  1. After logging into your account, click on a blank space in your calendar, then select the “Class” option.
  2. In the “Create Class” window, use the drop-down menu in the “Subject:” field to select the subject or to “Add a Subject.” Next, fill in the title field. Use the “For Whom:” drop-down menu to select your students. You add all the students you wish to be in this class.
  3. Next, you will want to determine the time frame for your class using the drop-down menu for the “When” field. There are quite a few preset options as well as a “More choices” option for creating a customized schedule. Here are the steps for creating a customized schedule:
    • Select the “More choices” option in the drop-down menu which will open the “Edit custom schedule” window.

Adding Assignments

  1. You will add assignments under the first tab called Shared Assignments that you want to appear for both students.
  2. You can then edit assignments under each student’s individual tab. The items under the More menu work as follows with shared classes:
    • Add a reminder– when you add a reminder in either the shared or individual tabs it will default to send the reminder to all students but you can override this option and deselect any students you do not wish to receive reminders.
    • Add a website, Upload a file, Assign a resource, Remove this shared assignment, and Move this shared assignment options will apply to all students if they are utilized under the Shared Assignments tab but to only one student if they are selected under a single student’s tab.
    • Add another assignment to this date for under the shared tab will add an assignment to all students while one in an individual’s tab will add the assignment only to that individual.
    • Remove this date from the schedule applies to the entire class regardless of what tab it is selected in.
    • Merge this day with the previous one... applies to all students when used in the Shared Assignments tab, and individual students when used in their tabs.
    • Shift this and the following assignments down, applies to all students when used in the Shared Assignments tab, and individual students when used in their tabs.
    • Shift entire schedule out and Eliminate gaps… apply to all students when used in the Shared Assignments tab, and individual students when used in their tabs.

Copy a Class

One of my favorite things is when I go to set up a class for a child who had an older sibling take the same class previously and I can just copy the original class right to the current year! Learn how to do this with the following directions~

Copy a Class Directions

  1. First, if you are copying a class from an old year to a new one be sure that you have created the new school year by going to the “Settings” icon at the top right of your screen and choosing the “School Year & Vacations” option.
  2. Once your new school year is created, locate the class in your calendar and select the title of the original class from your calendar.
    • You can use the Search bar or scroll through the dates to find an old class.
  3. Choose “Make a copy of this class” which is found in the lower left hand corner of the pop-up box.
  4. A new window will open and ask “Which assignments do you want to include?” Use the drop-down menu to choose the option that best fits your needs.
  5. Make sure that you check the box at the bottom that says “include completed assignments” to be sure all assignments are included in your copied class. Click the “Next” button.
  6. In the next window, choose which student(s) you wish to assign to this copied class then click the “Next” button.
  7. In the new window, choose the option that fits your needs then select the “OK” button.
  8. A confirmation window will ask that you “Verify Dates and Assignments.” Click the “OK” button in this window to access the copied class. From here you can make any changes that you need to the class.
  9. Once you are satisfied with the changes, click the “Save” button in the lower right corner of the window.
  10. That’s it! Enjoy the fruit of your previous labor!

Delete a Class

There are many reasons to delete a class from your schedule (a change in courses, an early completion, a newer version of your curriculum, a class misapplied, etc.) and with Homeschool Planet you can delete a single day of a class, an entire class, or a portion of a class. Find out how below!

Deleting a Class Directions

  1. After logging into your account, locate the class you need to delete, click on the class title, then choose the “Delete” option.
  2. When the pop-up window opens, choose one of the following options:
    1. Every day – This option deletes ALL instances of this class, including those in the past. It will erase any progress or grades that were previously recorded. You will be given a second confirmation screen. Select “Yes – delete it” to complete deleting the class.
    2. Every day going forward – This option keeps previous assignments intact but removes all future assignments. It is the appropriate option when you want to keep a record of completed work but no longer need future assignments. There will not be a second confirmation- once you select this option the future assignments will be gone.
    3. Just this day – Deletes only today’s assignment. This will delete the assignments which are scheduled on the day you selected from the calendar. There is no confirmation screen so only choose this option if you know you want the day’s assignments deleted.
    4. Cancel. This option is in case you did not mean to select delete.

Depending on which option you select, the “Reschedule Assignments” window may open asking you what you would like to do. Make your selection, then click the “OK” button in the lower right of the window.

Classes on Different Days and Times

Sometimes life is sweet and neat and you can do Math class every day at 9 am but often times homeschool families have Co-ops and outside classes and all kinds of activities and they need to schedule the same class at different times on different days of the week! Homeschool Planet lets you schedule the same class at different times on different days for situations like this. Learn how below!

Setting Up a Class to appear at different times on different days of the week

  1. You will begin set up like any other class- Click on the Calendar and choose the Class to initiate a new class.
  2. Choose your subject, a Title for the class, and whom the class is for.
  3. Next under the When drop-down menu choose the bottom option which reads More choices…
  4. Choose a starting and an end date for your class.
  5. Use the When drop-down box to decide whether class will be one day per week, all weekdays, all days, a combination of days, etc.
  6. Select the radial button next to the line that says Different times on different days.
  7. You will get a pop-up showing each day you have selected for class. Enter the time you want class to be on each day of the week and then choose Save.

  1. Select the title of the class you wish to change from the calendar and choose the edit button.
  2. Select the button labeled Change schedule under the When line.
  3. Choose the bottom option- Change the schedule in other ways.
  4. First select the date range you wish to change classes for across the top of the pop-up box.
  5. Next choose the radial button which reads Different times on different days.
  6. You will get a pop-up showing each day you have selected for class. Enter the time you want class to be on each day of the week and then choose Save.

Edit a Class

Field trips are one of the best parts of school! When an unexpected opportunity for a field trip comes up you can use the Homeschool Planet features to adjust your schedule in just a couple steps!

Edit a Class

After logging into your account, locate the class you need to modify, click on the class title, then choose the “Edit” option. Once the “Edit Class” window opens, you will be able to select the appropriate tab to view information and make changes to the schedule, add new assignments, setup grading, add notes, and more.

Using the Options/More Drop-down menu

  1. In the assignment window, at the end of an assignment row to the far right there is a “More…” drop-down menu with a variety of options to select including add reminders, move assignments, remove assignments, and more.
    • The items in the For this Assignment section allow you to make changes to a single assignment. They include adding reminders and websites, uploading files and documents, assigning resources, and moving or removing single assignments.
    • The items in the For this Day section help add addition al assignments to a particular date, remove a date from the schedule altogether (for that class only), and shift the assignment and those after it each down by one day.
    • When you choose Shift entire schedule out from this day forward in the Other section you can move assignments down by two or more days.
    • The Eliminate gaps in schedule, from this day forward option in the Other section will move all classes up filling any empty dates caused by adjusting the schedule.
  2. When you have finished making your edits, click the “Save and Close” button in the lower right for your changes to be in effect.

  1. First select the black Editing triangle to reveal the editing options.
  2. Set the date range in the From and Through section for the assignment window you wish to edit assignments in.
    • Adding text in the box labeled Containing will bring up all entries (within the selected date range) with that term. Add the term in the Find this box and enter a new term in the Replace with field and then select the Replace in Selected Items to replace text. If you would like to delete a term, select, delete Selected Items after bringing them up with the Containing field.
    • NOTE: Your changes will apply to all boxes with a checkmark in the box so if you would like to exclude items from your change or deletion deselect the checkbox.  You will be given an “are you sure” box, once you proceed your changes are not reversible.
